Loading Shared Students

When loading data in the Ready for Kindergarten Online (KReady) System for students who are receiving additional instructional services through a secondary organization (e.g. ESC or DD), data managers must remember that the scores can be matched to the correct program if the student demographic information is entered correctly – specifically the State Student Identification (SSID). The system allows a student to be loaded at two locations and receive ratings at both locations for the Early Learning Assessment. In a sense, this is like “sharing the student”.  This sharing allows for the student to be loaded by the “home” district/organization and loaded into KReady by a location that may be supplying additional instructional service to enter scores for the assessment.  For this to work successfully, it is essential to understand the necessary considerations and for the two organizations to partner in this effort.  

View the scenarios below to identify the best action steps to follow for your specific situation.

Scenario 1: 
The student(s) is loaded in KReady by the home district/organization prior to the ESC/DD loading student(s).
  1. The home district data manager should load student(s), and teacher, and add enrollments to assign current data collection and link student to teacher.
  2. ESC/DD should load the student(s) with the same SSID to trigger a transfer request.
  3. The home district should not approve the incoming transfer request.
  4. Both organizations will have access to enter scores and view reports for the student. The ESC/DD must add a teacher to the student and make sure the data collection is attached in order to make the student active and view the scores.
  5. Note – The Point of Authority (POA) will remain with the home district because the transfer request has not been accepted.
  6. ESC/DD should uncheck the “Filter by POA” option when generating an ELA report.
  7. Home district/organization should share final LP scores and SKB ratings with the ESC/DD for the specific student(s).
Scenario 2: 
The student(s) is loaded in KReady by ESC/DD prior to the home district/organization loading student(s).
  1. The ESC/DD data manager should load student(s), teacher, and add enrollments to assign current data collection and link student to teacher.
  2. The Home district should load the student(s) with the same SSID to trigger a transfer request.
  3. The ESC/DD should not approve the incoming transfer request until 1 week prior to the end of the assessment window.
  4. Both organizations will have access to enter scores and view reports for the student. The district/organization must add a teacher to the student and make sure the data collection is attached in order to make the student active and view the scores.
  5. Note – The The Point of Authority (POA) will remain with the ESC/DD until a new transfer request is initiated by the home district and accepted by the ESC/DD.
  6. The home district should uncheck the “Filter by POA” option when generating an ELA report.
  7. Once the transfer is accepted by the ESC/DD, the POA is transferred to the home district and access to final scores/ratings will be limited to the home district.
  8. The home district/organization should share final LP scores and SKB ratings with the ESC/DD for the specific student(s).

Special Note

It is suggested that the home district/org be the Point of Authority (POA) and share final ELA student ratings and scores with the ESC/DD. This is a local decision and should include communication, collaboration, and coordination between all parties. As long as someone is entering the data for the student into the KReady system, the Ohio Department of Education will ensure that all parties that are responsible for the student receive credit for ratings entered.
